Cookies Policy

1. What Are Cookies?

Cookies are small text files that a website places on your device when you visit. They allow the site to remember information about your visit — for example, whether you are logged in — so that the site works correctly.

This policy explains which cookies RaceClan uses, why we use them, and what your rights are in relation to them.

2. The Cookies We Use

RaceClan uses only a small number of cookies, all of which are strictly necessary to make the platform function. We do not use any advertising cookies, tracking cookies, or analytics cookies.

2.1 Authentication session cookies

We use two session cookies to manage access to different parts of the platform:

These cookies contain only the session credential needed to verify your access. They do not contain your name, email address, or any other personal data. They are set as HttpOnly and Secure cookies, meaning they cannot be accessed by JavaScript running on the page and are only transmitted over encrypted HTTPS connections.

2.2 Cookies set by third-party services

The Google Maps JavaScript API is loaded when you view the race map. Google may set its own cookies in connection with the map. These are governed by Google's Privacy Policy and Cookie Policy, which you can read at google.com/policies/privacy.

We do not control the cookies set by Google and cannot provide a comprehensive list of them here, as they may change. Google's cookies are used to deliver the mapping functionality and may include session identifiers for the Maps API.

3. Why We Do Not Show a Cookie Consent Banner

Under the UK Privacy and Electronic Communications Regulations (PECR), strictly necessary cookies — those that are essential for a service you have requested to work — do not require your prior consent.

Our own cookies (admin_session and club_member_session) fall into this category: you cannot log in and access the platform without them. We therefore do not display a cookie consent banner for these cookies.

If we introduce any cookies that are not strictly necessary in the future, we will update this policy and implement appropriate consent mechanisms before doing so.

4. Managing and Deleting Cookies

You can control and delete cookies through your browser settings. The main browsers provide guidance here:

  • Google Chrome: Settings → Privacy and Security → Cookies and other site data
  • Mozilla Firefox: Settings → Privacy & Security → Cookies and Site Data
  • Safari: Preferences → Privacy → Manage Website Data
  • Microsoft Edge: Settings → Cookies and site permissions

Please note that if you delete or block our authentication cookies, you will be logged out of the platform and will need to re-enter your password. The core mapping and leaderboard features will continue to function, but you will not be able to access password-protected pages until you log in again.

5. Changes to This Policy

We may update this Cookie Policy from time to time, for example if we add new features that use cookies or if there are changes to the law. When we do, we will update the "Last updated" date at the top of this page. We encourage you to check this page periodically.
