Terms of Use

1. About These Terms
These Terms of Use ("Terms") govern your access to and use of the RaceClan platform, accessible at raceclan.co.uk (the "Platform"). The Platform is operated by Alec Darlow ("we", "us", "our").
By accessing the Platform, you agree to these Terms. If you do not agree, you should not use the Platform.
These Terms are governed by the laws of England and Wales.
2. What RaceClan Is
RaceClan is a virtual race competition platform provided to UK sports clubs. It allows club members to participate in team and individual competitions by accumulating equivalent distance from their real-world athletic activities, as recorded on Strava. Progress is displayed on a map showing a real-world route.
The Platform is made available to clubs on a club-by-club basis. Access to the competition pages is controlled by a shared club password provided by the club administrator. The Platform is not a public-facing service and is not intended for general public use.
3. Who Can Use the Platform
You may use the Platform if:
- You are a member of a sports club that has been granted access to the Platform by us
- You have been provided with the club access password by your club administrator
- You are aged 13 or over
- Your club administrator has informed you that the Platform is in use and that your Strava activity data will be processed as described in our Privacy Policy
If you are under 18, you must have the permission of a parent or guardian to use the Platform.
4. Responsibilities of Club Administrators
Club administrators (typically club secretaries or organisers) are granted access to the admin panel and are responsible for:
- Informing club members that the Platform is in use before activating the Strava sync
- Ensuring club members understand what data is collected and how it is used, as described in our Privacy Policy
- Keeping the admin password and club member password secure and not sharing them with unauthorised persons
- Ensuring that the Strava Club API credentials they provide belong to a club they are authorised to administer
- Configuring the Platform accurately, including race dates, route details, and activity multipliers
- Ensuring that team assignments are made fairly and in accordance with the club's own rules
By connecting a Strava club to the Platform, the club administrator confirms that they have authority to do so and that club members have been appropriately informed.
5. Strava Integration and Data Accuracy
5.1 Data source
Activity data displayed on the Platform is sourced directly from the Strava Club API using credentials provided by your club administrator. We do not independently verify the accuracy of this data. Strava's own terms of service and privacy policy govern your use of Strava and the data you share through it.
If you believe activity data shown for you on the Platform is inaccurate, you should first check your Strava account. If data appears to be missing or incorrect after a sync has taken place, please contact your club administrator.
5.2 Accuracy of competition standings
Competition standings, equivalent distances, and map positions are calculated automatically using the activity data received from Strava and the activity multipliers configured by your club administrator. We make reasonable efforts to ensure calculations are correct, but we do not guarantee that standings are free from error.
The Platform is provided for the purpose of friendly club competition and motivation. It is not intended for use in high-stakes competitions where disputes over standings could have significant consequences. Any disputes about standings should be resolved between club members and the club administrator.
5.3 Sync frequency and data currency
Activity data is synced from Strava at a frequency configured by the club administrator. Data displayed on the Platform may not reflect activities recorded after the most recent sync. The time of the last sync is shown in the admin panel.
6. Acceptable Use
You agree that you will not:
- Attempt to access any part of the Platform for which you have not been given authorisation
- Share admin or club member passwords with anyone outside the club without the club administrator's permission
- Attempt to interfere with, disrupt, or gain unauthorised access to the Platform or its underlying systems
- Use the Platform in any way that violates applicable law or regulation
- Attempt to manipulate or falsify activity data or standings
- Use the Platform for any commercial purpose without our prior written consent
We reserve the right to suspend or terminate access for any person or club that breaches these Terms.
7. Intellectual Property
The Platform, including its design, code, and content (excluding data sourced from Strava), is owned by Alec Darlow. You may not copy, reproduce, modify, or redistribute any part of the Platform without our prior written consent.
Activity data and athlete names displayed on the Platform originate from Strava and remain subject to Strava's terms of service and the rights of the individual athletes concerned.
8. Platform Availability
We will make reasonable efforts to keep the Platform available, but we do not guarantee uninterrupted access. The Platform may be unavailable from time to time for maintenance, updates, or reasons beyond our control, including failures of third-party services such as Strava's API, Supabase, or Vercel.
We reserve the right to modify, suspend, or discontinue the Platform at any time, with or without notice. Where possible, we will provide advance notice of significant changes or planned downtime to club administrators.
We may update or change the features of the Platform at any time. Continued use of the Platform after any such changes constitutes your acceptance of the updated Platform.
9. Limitation of Liability
The Platform is provided "as is" and "as available". To the fullest extent permitted by law:
- We make no warranties, express or implied, about the Platform, including as to its accuracy, fitness for a particular purpose, or availability.
- We are not liable for any loss or damage arising from your use of the Platform, including inaccurate competition standings, failed syncs, or data loss.
- We are not responsible for the accuracy of data provided by Strava or for any changes Strava makes to its API that affect the Platform.
- We are not responsible for any disputes between club members or between members and club administrators arising from the use of the Platform.
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under applicable law.
10. Privacy
Our Privacy Policy explains how we collect, use, and store personal data in connection with the Platform. By using the Platform, you acknowledge that you have read and understood our Privacy Policy, which is available at raceclan.co.uk/privacy.
Our Cookie Policy explains the cookies we use. It is available at raceclan.co.uk/cookies.
11. Third-Party Services
The Platform integrates with the following third-party services, each of which has its own terms and policies that you should be aware of:
- Strava — the source of activity data
- Google Maps — used for route and map visualisation
- Supabase — database hosting
- Vercel — platform hosting
We are not responsible for the content, availability, or practices of these third-party services.
12. Changes to These Terms
We may update these Terms from time to time. When we do, we will update the "Last updated" date at the top of this page. We will notify club administrators of material changes where possible. Continued use of the Platform after any changes constitutes acceptance of the updated Terms.
13. Governing Law and Disputes
These Terms are governed by the laws of England and Wales. Any disputes arising from your use of the Platform will be subject to the exclusive jurisdiction of the courts of England and Wales.
